How do I enable flexible hours and send counter offers?

Negotiating hourly rates and schedule modifications with applicants

Fairly Staffing allows clinics to negotiate hourly rates with applicants and offer flexible hours to find a budget and schedule that works for both parties.

Enabling Flexible Hours

You can create shifts with Flexible Hours turned on, which allows temps to apply with modified start and/or end times. This is recommended if you want to increase the number of applicants for your shift.

To use Flexible Hours:

  • Turn it on via the toggle when creating a new shift.
  • Alternatively, you can edit an existing shift to turn it on later.

Once Flexible Hours is turned on for a shift, it cannot be turned off. If you no longer want to allow flexible hours, you must delete the shift entirely and post a new one.

Sending a Counter Offer

Before sending a counter offer, always review the applicant's profile carefully. Pay special attention to the Proposed Modified Hours section.

If you send a counter offer, you are automatically agreeing to the applicant's requested modified hours.

To send a counter offer:

  • Click the "Counter Offer" button on the applicant's card
  • Enter your "Proposed Rate"
    • The rate must be a whole number (no decimals)
    • The rate must be at least $2 lower than the applicant's original rate
  • Add a brief note explaining the rate adjustment (optional)
  • Click "Send Counter"

You must have a valid credit card on file to send counter offers.

Handling an Applicant's Response

Once you send a counter offer, the applicant may accept the offer, decline the offer, or send one final counter offer back to you. (Note: If they decline, their application remains active at their original rate).

To respond to an applicant's final counter offer:

  • Click "Accept & Hire" to accept their final rate
    • The applicant will be instantly hired and booked for the shift
  • Do nothing if the final rate is too high
    • You can simply ignore the counter offer and wait for other professionals to apply

A Note on Hiring: Only send a counter offer if you are fully prepared to hire the applicant. Because an applicant accepting your counter offer triggers an instant booking, there is no final approval step on your end once they accept.
