How do I approve hours and pay temps?

Shift Completion and Pending Payment

  • After a temp checks out, the shift status updates to Pending Payment

Approving Hours

  • Click "Approve Hours" to review and confirm the temp's hours
  • Adjust hours if necessary:
    • Example: If a temp checked out at 3:00 PM but actually worked until 3:15 PM, you can adjust the check-out time
  • Adjusting hours ensures accurate invoicing before payment is processed

When a temp checks out of their shift, you will receive two invoices:

  1. An invoice for the temp’s fee

  2. An invoice for Fairly’s placement fee

The temp’s invoice is based on their check-in, check-out, and break times. If there are any discrepancies or errors in these times, they will appear in the invoice attached to the check-out email: Invoices Explained: Temp Fees and Platform Charges.

After you review, correct (if needed), and approve the hours for the shift, an updated invoice reflecting the approved hours will be available in both the web and mobile apps: How do I access invoices?

Leaving Feedback

  • When approving hours, you must leave feedback, being:
    • A rating on a scale of 1 to 5 stars
    • A written review 

A 5-star rating doesn’t mean the temp was perfect — it means they did a great job and you’d be happy to work with them again. 

Rating Guide

  • ⭐⭐⭐⭐⭐ Excellent (Not Perfect!): Punctual, professional, and a great fit. You’d happily rehire or recommend. Minor flaws and mistakes are okay - the standards is not perfection

  • ⭐⭐⭐⭐ Very Good: Met expectations and reliable. Some small areas to improve

  • ⭐⭐⭐ Good: Completed the shift but had a few issues. Rehire only if needed

  • ⭐⭐ Fair: Showed up, but concerns with attitude, skills, or fit. Unlikely to rehire

  • ⭐ Poor: Unprofessional or problematic. Would not rehire

  • Feedback helps maintain quality and accountability on the platform
  • Temps cannot see your specific feedback
    • Temps only see their average rating, e.g. ⭐ 4.6 (123 Reviews)

    • Other clinics can only see a temp’s average rating after the temp applies to one of their shifts
  • Temps with consistently low ratings are less likely to be hired and may be suspended 

All feedback must be compliant with Fairly Staffing's Feedback Policy and Terms & Conditions, and is maintained in accordance with these policies.

Payment Options

Once hours are approved and feedback has been left, you can process payment in one of two ways:

  • Pay with Fairly Payments (Instant Payment)
    • Click "Fairly Payments" to pay the invoiced amount instantly
    • The temp will receive payment in their in-app  Fairly Wallet
    • Payment can be made via credit card or bank transfer
  • Pay with an external method (Off-Platform Payment)
    • If paying via cheque, e-transfer, or another method, mark the invoice as paid after processing the payment
      • Click "Mark as Paid" to mark the invoice as paid
    • The temp will be notified that the payment has been made
    • Temps can also mark invoices as paid if they receive payment and you have not marked it as paid. When this happens, you will receive a notification

Paying a temp outside the Fairly Staffing app means we have no visibility into the transaction and are not making the payment on your behalf. In these cases, we cannot provide support for payment-related issues and our system only serves as a record-keeping tool—the payment is entirely between you and the temp.
