Creating Time Off Types and managing Time Off Requests

Time Off allows clinics to define time off policies, review requests, and manage approvals for team members—all integrated with Fairly Payroll for Teams.

Creating Time Off Types

Clinics can create different types of time off (for example, Vacation, Sick, Personal).

To create a time off type:

  • Click "Fairly Payroll"

  • Click "Time Off"

  • Click "Types"

  • Click "+ Create Time Off Type"

When creating a time off type, you can:

  • Set the default number of hours each employee receives

  • Set a minimum notice period, which prevents team members from requesting time off within that window

Viewing Time Off Requests

Clinics can view Time Off Requests in two ways.

Calendar view

  • Click "Fairly Payroll"

  • Click "Time Off"

  • Click "Calendar"

The calendar shows all pending and approved time off across your team.

You can approve or reject Time Off Requests directly from the Calendar view by clicking on a request.

Requests list

  • Click "Fairly Payroll"

  • Click "Time Off"

  • Click "Requests"

  • Click a request

  • Click "Approve" or "Deny"

When denying a request, you can include a comment for the team member.

Historical requests remain accessible for reference.

Reviewing Request Details

For every Time Off Requests, clinics can see:

  • The employee’s total hours allotted for that time off type, whether that's the default or a custom number of hours

  • The number of hours requested

  • The remaining hours if the request is approved

This helps ensure accurate and fair approvals.

Notifications

When a team member submits a time off request:

  • The clinic is notified that there’s a new request to review

  • The team member is notified when the request is approved or denied

  • If you include a comment when denying a request, the team member will see that comment in the notification and in the request details

This ensures requests don’t get missed and can be reviewed in a timely manner.

Overriding Time Off Hours for an Employee

Clinics can override default time off hours at the individual employee level.

To adjust hours for a specific employee:

  • Click "Fairly Payroll"

  • Click "Employees"

  • Click "View" under Time Off Summary

  • Click the pencil icon next to the applicable time off type

  • Enter the hours that employee will receive

This is useful for custom arrangements or role-specific policies.
